Inquiry Workflow

Common export inquiry gaps that delay pricing and sample planning

Many delays come from missing market context, packaging targets, or quantity ranges. A better brief gives both sides a sharper starting point.

Buyer team organizing packaging samples and an export inquiry brief

A request for the best price is difficult to answer when the product, packaging, quantity, destination, and decision stage are unclear. A short structured brief usually saves more time than a long unorganized message.

Missing commercial context

State whether the request is for market research, samples, a trial order, or a regular program. Include the destination and expected sales channel so the supplier can frame relevant options.

  • Company and market
  • Project stage
  • Sales channel
  • Target launch timing

Unclear product and packaging scope

Name the product type, required variants, pack format, private label need, and any mandatory specifications. Attach references with notes explaining what should and should not be copied.

No quantity or shipping basis

A realistic quantity range helps determine whether the request fits standard packaging, custom printing, or a staged trial. Include the destination port or city and preferred Incoterm if known.

  • Quantity range
  • Number of SKUs
  • Destination
  • Preferred shipping basis
  • Sample deadline

Practical takeaway

A complete inquiry does not lock the buyer into a final order. It gives the supplier enough context to return a useful and comparable response.
