Evidence Tool
Ask What the Evidence Proves Before Asking for More Files
Request product, sample, packaging, quality, shipment, and document evidence with a clear source, scope, date, owner, and limitation.
Direct answer
A useful evidence request names the exact product or claim, the decision it supports, the requested record, its source, applicable scope, date or version, responsible owner, and known limitation. File volume is not proof quality; every item should connect to a buyer approval or an open question.
How to use
- 1Write the buyer decision or claim first, then request only the evidence needed to support or reject it.
- 2Identify the product, SKU, sample, site, process, shipment, or period to which the evidence applies.
- 3Record the issuer or source, file date or version, responsible owner, and where the original is stored.
- 4Separate supplier statements, buyer observations, and third-party records instead of presenting them as equivalent.
- 5Mark expiry, destination review, translation, sampling, or other limitations and assign the next confirmation owner.

Decision table
Evidence-to-decision register
One row should answer who produced the evidence, what it covers, and which decision it supports.
| Decision area | Evidence request | Scope and source | Status / limitation |
|---|---|---|---|
| Product basis | Specification, sample code, material or formula record | Named SKU/sample and issuing team | Current / open deviation / superseded |
| Sample evaluation | Method, conditions, observations, retained sample | Named evaluator, date, and sample identity | Comparable / conditional / retest |
| Emballage | Proof, dimensions, construction, label or carton record | Named version, pack, and approval owners | Approved / awaiting input / not destination-reviewed |
| Quality checkpoint | Agreed inspection or release evidence | Named lot/order/site/process and record owner | Accepted / gap / external review |
| Public claim | Evidence supporting the exact wording and scope | Company statement, buyer record, or third-party source | Approved wording / narrower scope / remove |
| Shipment / documents | Available record and responsibility statement | Named order, shipment, route, destination, and provider | Available / applicability open / buyer-provided |
Scope and limitations
Use the template as a decision record, not a compliance promise
- This template does not authenticate a file, certify a supplier, or determine legal, technical, customs, food, safety, or destination compliance.
- A certificate or report may apply only to the named site, product, sample, method, period, issuer, or standard shown in the original.
- Sensitive or confidential records should be exchanged and stored through an approved business process, not pasted into a public inquiry form.
- The appropriate qualified party must confirm whether evidence is sufficient for the actual decision and destination.

FAQ
Frequently Asked Questions
Does more evidence always mean a stronger supplier decision?+
No. The useful question is whether each item has a known source, scope, date, owner, limitation, and connection to the buyer decision. Unrelated files can create volume without clarity.
Can a supplier certificate prove destination compliance?+
It may support a specific fact within its stated scope. The appropriate buyer-appointed party must confirm whether it is current, authentic, applicable, and sufficient for the actual product and destination.
How should a public product claim be reviewed?+
Write the exact wording, identify the evidence and product scope, record the reviewer and limitations, and approve a narrower statement or remove it when the evidence does not support the proposed claim.
When should the evidence register be updated?+
Review it when the product, sample, specification, pack, site, route, destination, standard, record validity, or public claim materially changes.
